Formula Used

1. Gross Shift Hours

Gross Shift Hours = End Time − Start Time. If end time is earlier than start time, the shift is treated as overnight.

2. Net Daily Hours

Net Daily Hours = Gross Shift Hours − (Break Minutes ÷ 60).

3. Rounded Daily Hours

Rounded Daily Hours = Net Daily Hours rounded to the selected minute increment.

4. Daily Overtime

Daily Overtime = max(0, Rounded Daily Hours − Daily Overtime Threshold).

5. Weekly Overtime Adjustment

Weekly Extra Overtime = max(0, Daily Regular Base Total − Weekly Overtime Threshold).

6. Estimated Pay

Estimated Pay = (Regular Hours × Hourly Rate) + (Final Overtime Hours × Hourly Rate × Overtime Multiplier).

1. What counts as worked hours?

Worked hours are the shift hours remaining after unpaid breaks are removed. The calculator then applies the chosen rounding rule before totals, overtime, and pay estimates are shown.

2. Can this calculator handle overnight shifts?

Yes. If the end time is earlier than the start time, the shift is treated as crossing midnight into the next day automatically.

3. Why does rounding change my totals?

Some workplaces round to fixed intervals like 5, 10, or 15 minutes. That policy can slightly increase or decrease individual day totals compared with exact clock time.

4. How is estimated pay calculated?

Estimated pay multiplies regular hours by the hourly rate and overtime hours by the hourly rate times the overtime multiplier. It is useful for planning, but payroll rules may differ.

5. What is daily overtime?

Daily overtime is any rounded daily work time above the daily overtime threshold you set. A common rule is overtime after eight hours in one day.

6. What is weekly overtime adjustment?

Weekly overtime adjustment converts remaining regular hours above the weekly threshold into overtime. It does not count hours that were already classified as daily overtime, helping avoid duplication.

7. What does the CSV export include?

The CSV export includes employee details, pay settings, daily entries, gross hours, net hours, overtime amounts, notes, and the final weekly summary figures.

8. How do I create the PDF file?
